Start with what you’re actually trying to accomplish. A leadership retreat for 20 people has completely different needs than a sales meeting with 200 employees.

Branding space is another one we pay close attention to.

Location: Townsend, Tennessee

Dancing Bear Lodge gives teams a Smoky Mountain setting with lodging, dining and access to outdoor activities nearby. It makes sense for companies that want meetings to feel removed from the usual hotel-conference-room environment.

For a property like this, we’d probably start by looking at our 4ft letters for company initials or a short retreat theme. They give us more flexibility around smaller gathering spaces.

If the setup is outdoors, the next question is simple: where does it go if the weather turns?

We’d want that answer before event day.

Location: Walland, Tennessee

Blackberry Farm combines accommodations, dining, gathering spaces and outdoor activities in a setting that works well for executive groups.

Here, we’d probably keep the branding simple.

Company initials, a short name or retreat theme in 4ft letters could work around a reception or photo area without trying to turn every part of the retreat into a branded installation.

Sometimes the letters need to be the main focal point.

Sometimes they don’t.

4. RT Lodge

Best For: Company retreats wanting a secluded setting near Knoxville

Location: Maryville, Tennessee

RT Lodge offers the lodge-style retreat feel while still being relatively close to Knoxville.

Location: Smithville, Tennessee

Evins Mill offers a more secluded retreat setting with lodging, meeting areas and outdoor spaces.

Properties like this are a good reminder that the final photo only tells part of the story.

If the event space is down a hill, across gravel, upstairs or a long distance from where we can unload, that’s information we need before setup day.

We’ve moved enough large event pieces to know that access can completely change the plan.

For the display itself, something simple like “TEAM,” company initials or another short phrase in 4ft letters could work well around an arrival or group-photo area.

7. The Read House

Best For: Downtown Chattanooga corporate retreats

Location: Chattanooga, Tennessee

The Read House gives companies a downtown location with meeting rooms, ballrooms, dining and easy access to other Chattanooga activities.

Hotels like this are why “the event is at The Read House” isn’t quite enough information for us.

We want the exact room, vendor entrance, loading instructions and elevator situation before deciding whether 7ft or 4ft letters are the better choice.

A large ballroom may be perfect for 7ft company initials or a short acronym.

Registration areas and tighter spaces usually push us toward the 4ft letters.

The exact room matters more to us than the hotel name.

A ballroom might have plenty of room for a larger display while a hallway, lobby or reception area could make 4ft letters the obvious choice.

We wouldn’t recommend one size or the other until we knew where the client actually wanted the display.

Best For: Large corporate meetings, conferences and sales events

Location: Nashville, Tennessee

Gaylord Opryland is on a completely different scale from most properties on this list.

This is the kind of venue where our 7ft letters can really make sense.

A 4ft display that feels huge in a smaller room can suddenly look much different once it’s sitting inside a massive convention or ballroom space.

For larger corporate events, we’d normally lean toward shorter wording at 7ft: company initials, an acronym, a milestone number or a short company name.

And we absolutely need the exact ballroom or event area.

Knowing only that an event is “at Gaylord” isn’t enough information to plan an installation on a property that large.

10. Omni Nashville Hotel

Best For: Downtown Nashville corporate retreats

Location: Nashville, Tennessee

The Omni combines downtown access with meeting and ballroom space, making it convenient for companies that want business sessions during the day and Nashville activities afterward.

For registration, we’d often look at the 4ft letters first.

A company name, retreat hashtag or something like “NASHVILLE 2026” gives people an obvious place to stop for photos without taking over the entire entrance.

Move that same display into a larger ballroom and the recommendation may change.

Best For: Corporate retreats mixing meetings with Smoky Mountain activities

Location: Pigeon Forge, Tennessee

This is another example of where 4ft letters can be useful for a longer corporate message.

If someone tells us they want letters on a rooftop, the view isn’t actually the first thing we’re thinking about.

We’re thinking about wind.

Then access.

Then power.

Then where the venue is actually going to allow us to put them.

A 4ft core-value word like “TRUST” or “FOCUS” could make a great photo setup, but we’d still confirm the exact area before recommending anything.

Location: Gatlinburg, Tennessee

The Park Vista gives groups access to meeting spaces and mountain views while staying close to Gatlinburg and Great Smoky Mountains National Park.

A simple “WELCOME” or company-initial display could work well for a corporate event here.

For any terrace or outdoor setup, we’d also want an indoor backup location approved.

Outdoor décor looks easy when you’re looking at the finished photos. The weather plan is the part people don’t see.

That’s usually the first question we’d ask.

A short company name, acronym or milestone number may look better in 7ft letters.

A longer company name or retreat theme usually pushes us toward 4ft simply because we can fit more characters into the available space.

The Guest House gives groups accommodations and meeting space next to one of Memphis’ best-known attractions.

For a corporate event here, 4ft letters could work well for a company name or retreat theme around registration, a reception or another approved gathering area.

If the event is in a larger ballroom and the wording is short, we’d also consider whether 7ft makes more sense.

What Makes a Retreat Venue Work for Branded Letter Displays?

When we look at retreat venues for branded letter displays, we’re not just looking for an empty wall.

We want to know:

Where is the display going?

How are we getting the letters there?

How much room do we actually have?

Where is the power?

Will people be walking directly in front of it?

Is the event indoors or outdoors?

And what are we spelling?

Those answers tell us a lot more than a Pinterest photo does.

We’ve had corporate displays built around company initials, anniversaries, safety milestones and other achievements. Sometimes the client starts with the idea that bigger automatically means better.

That’s not always the case.

A short phrase at 7ft can look incredible.

A long phrase at 7ft can turn into a wall of letters that needs far more room than the venue actually has.

This is one of the most common decisions we help clients make.

We don’t start with “Which one is better?”

We start with:

What are you spelling?

Where is it going?

And how much room do we have?

When We’d Recommend 7ft Letters

Our 7ft marquee letters are built for scale.

They’re usually our first choice when the venue is large enough that a smaller display could get visually lost.

Company initials, acronyms, short names, anniversary numbers and safety milestones are all good examples.

We’ve also used oversized numbers for corporate achievements where the number itself was the entire point of the display. In that situation, you don’t need a long phrase. The size does the work.

Seven-foot letters also photograph very differently.

When employees stand beside them, you immediately understand how large they are. That’s especially useful for wide ballroom photos, group pictures and stage areas.

The tradeoff is space.

Seven-foot letters need more room to get into the venue and more room once they’re installed.

They’re also not stacked.

When We’d Recommend 4ft Letters

Our 4ft marquee letters give us more options.

They’re usually where we’d go for longer company names, retreat themes, hashtags, registration areas, smaller ballrooms, lounges and longer phrases.

They can also be used in approved two-row stacked configurations.

We don’t really think of the 4ft letters as “small.”

Put one beside an adult and it’s still a large event display.

They’re just easier to work into more spaces.

That’s especially important with corporate events, because the letters often have to share the room with staging, AV equipment, tables, registration signage and everything else the event team is bringing in.

Where Corporate Marquee Displays Usually Work Best

The best location isn’t always the first empty space in the room.

We look at where people are naturally going to stop.

Registration is an obvious one.

Ballroom entrances can work well.

So can stage areas, award displays, lounges, reception spaces and dedicated company-photo areas.

But if employees are already gathering around registration, we’d rather put the company initials somewhere they’ll actually see and use them than build a photo setup in a corner nobody walks past.

We’ve learned that placement matters almost as much as the letters themselves.

The goal is to make the display feel like it belongs there.

Add Corporate Branding Around the Letters

The letters don’t always need anything else.

That’s worth saying because it’s easy to overdo corporate décor.

We’ve paired marquee displays with balloons, colored bulbs, uplighting, flower walls and other backdrop elements, but adding more isn’t automatically better.

Our standard bulbs are soft-white LEDs.

Colored bulbs can be used when a company wants to bring brand colors into the display.

For a safety milestone or company anniversary, the numbers themselves may be all you need.

For a photo area, balloons or a backdrop may make more sense.

For an awards dinner, uplighting around a milestone number can give the display a little more presence once the room gets darker.

We look at the whole setup before adding things just because they’re available.

If the letters are supposed to be the focal point, we don’t want to bury them.

What We Need to Know Before a Corporate Marquee Setup

This is the part nobody posts on Instagram.

Before we arrive, we want to know exactly what we’re walking into.

Exact Venue and Room

For a large hotel or convention property, the venue name alone isn’t enough.

We need the actual ballroom, meeting room or event area.

A hotel might have multiple ballrooms on different floors with completely different loading routes.

That matters when you’re moving 7ft letters through the building.

Loading Access

Tell us about loading docks, freight elevators, regular elevators, stairs, narrow hallways, gates and long distances between unloading and the event space.

We’ve had setups where the final display area looked simple but getting there was the difficult part.

For 7ft letters especially, the route from the truck to the setup location is part of deciding whether the display works.

Available Space

Different letters have different widths.

An “I” does not take up the same amount of room as a “W.”

So we don’t calculate a whole phrase by multiplying one standard width by the number of letters.

If space is tight, send us the phrase along with measurements, photos or a floor plan.

That’s much more useful.

Power

Our marquee letters use standard 120V power, and we include a 50-foot power cord.

Longer displays may need access to more than one circuit.

If power isn’t available where the display needs to go, we can also look at whether our silent generator makes sense for the setup.

Outdoor Backup Plan

Outdoor corporate events need a Plan B.

Not a “we’ll figure it out if it rains” plan.

An actual approved alternate location.

We can install outside when the surface and weather conditions are safe, but high winds or heavy rain can change that.

Having the backup location decided before event day makes everyone’s life easier.

Vendor Setup Time

We also need to know when the venue will actually let us in.

A corporate meeting that starts at 8:00 AM may mean an early setup.

An evening awards dinner gives us more room in the schedule.

Vendor access affects the delivery plan, especially on days when we have multiple events.

Final Placement

Once our team installs the letters, guests, venue employees and other vendors should not move or rearrange them.

If the event needs the display moved from one part of the venue to another later in the day, tell us when you’re booking.

A second location is another setup.

We need to plan for that rather than having someone grab a seven-foot letter during the event and start moving it across the room.

One-Day Corporate Events vs. Overnight Retreats

Not every company needs a three-day mountain retreat.

Sometimes the event is a one-day offsite, annual meeting, product launch, employee-appreciation event, awards dinner, safety celebration or holiday party.

Those events can use the same marquee ideas.

We’ve worked on corporate displays where the entire focus was one achievement or milestone. In those cases, a few large numbers or a short phrase can do more visually than trying to spell out a long message.
